Coca-Cola Beverage Donations
The Coca-Cola Donation Program provides free Coca-Cola beverages for campus events and is intended to refresh the campus by providing the highest quality beverages, service, and positive community participation. Review the program eligibility, guidelines and process for full details.
Eligibility
- The form must be submitted at least 1 month before the event, though requests can be submitted up to 3 months in advance of the event.
- For example, if the event is on March 5, the request must be submitted by February 5.
- Request must be made by a student organization, university department, or campus program for a student event.
- Student organization events must be open to all students and cannot be organization members only. University-hosted events must at least be open to students within a college/program.
- Events must be held on-campus or on Ohio State property.
- Product must be intended for special events, not standard meetings.
Product Use and Pick-up Guidelines
- Beverages will be allocated up to one beverage per attendee per event. Attendance estimates must be reasonable. Due to program constraints, it is not always possible to allocate the full amount requested.
- Product is distributed in 24-count case allotments. Canned product comes in two sleeves of 12-count, and bottled product comes in one 24-count package. Attendance numbers may round up to the nearest case.
- For student-run events, product pick-up can be specified as a preference between RPAC and Ohio Union.
- For university/department-run events, most will be directed to pick up product at a separate OSU building on West Campus which provides ample parking and pick-up assistance. Events in or near the Ohio Union are the exeption to this.
- Expectations for picking up product are provided via email which specify pick-up window and location instructions.
- Product that is unused and/or not picked up on time will be redistributed and the request cancelled.
- Pick-ups vary based on location, university holidays, and operating hours.
- Beverages must be consumed following university policy and space rules.
- For example, events in classroom spaces do not permit food/beverages.
- Priority will be given to student-run events and events open to the entire campus community.
- Each event date should be submitted as separate requests.
- All requests are subject to substitutions due to supply chain issues, product availability, guest count, pick-up location, and event venue.
- Beverages are not chilled, and ice and cups are not provided.
- Beverages cannot be resold.
Request Process
- Requestor submits the online form below at least 1 month before event date.
- An automated email confirmation is sent to the submitted immediately upon submission; this does not constitute an approval. If the confirmation email is not received, the request should be resubmitted.
- Program staff review requests for eligibility, product availability, and operational feasibility. Additional information may be requested via email before a decision is made.
- Request decisions are communicated via email from SL-CocaColaDonation@osu.edu. Total number of approved cases of product and product type are confirmed, which may differ from original request.
- Pick-up instructions will be sent via email the week before the event.
